Photo, Video & Media Usage Policy

At Cresthill Academy, we love capturing the special moments that make up your child's day — from art projects and playground adventures to milestones and everyday learning. This policy explains how we capture, use, and protect photos, videos, and other media involving children enrolled in our programs across all of our New Jersey locations (Hoboken, Harrison, East Hanover, Lyndhurst, Paramus, and Parsippany).
1. What Media We Capture
Our staff regularly takes photographs and short video clips throughout the day to document classroom activities, learning experiences, special events, and your child's growth and milestones. Media may be captured using school-provided devices such as tablets or cameras.
2. How Media Is Used
Internal Use — Parent Communication
We use a secure school communication app to share daily photos and videos directly with the parents and guardians of enrolled children. This is how we keep you connected to your child's day. Photos and videos shared through the app are intended only for the families of the children enrolled in our programs.
External Use — Marketing & Promotional Materials
With your consent, we may also use selected photos, videos, and parent testimonials on our website (cresthillacademy.com), social media channels (Facebook, Instagram, etc.), printed marketing materials, and other promotional platforms. The purpose of external media use is to share the Cresthill Academy experience with prospective families and our broader community.
3. Parental Consent
We take consent seriously. Here is how our consent process works:
- App-based sharing (internal): By enrolling your child at Cresthill Academy, you acknowledge that daily photos and videos will be shared with you through our parent communication app as part of our standard program communication.
- Marketing and external use: We request separate, written consent from parents or guardians before using any photos, videos, or testimonials of their child in external marketing or promotional materials. This consent is typically collected during the enrollment process.
Your consent for external/marketing use is always voluntary. Choosing not to consent — or revoking consent at any time — will not affect your child's enrollment, participation in programs, or the quality of care they receive.
4. Opting Out & Revoking Consent
If you would like to opt out of or revoke consent for the external/marketing use of your child's image, you may do so at any time by:
- Contacting your location's director in writing (email or written note).
Upon receiving your request, we will make commercially reasonable efforts to remove your child's image from future marketing materials. Please note that it may not be possible to recall materials already printed or distributed, but we will ensure that no new external use occurs after your request is processed.
5. How We Protect Children's Images & Data
We take the protection of your child's images very seriously:
- Media shared through our parent communication app is accessible only to authorized parents and guardians of enrolled children.
- Staff members are trained on appropriate media practices, including when and how photos and videos may be taken and shared.
- We do not sell children's photos or videos to any third party.
- We do not use children's full names in connection with photos or videos in external marketing materials unless a parent has specifically consented.
- Digital media is stored on secure systems with access limited to authorized personnel.
6. Staff & Visitor Photography Policy
Only authorized Cresthill Academy staff members may photograph or record video of children using school-provided devices. Personal cell phone photography of children by staff is prohibited during working hours except where specifically authorized by a director for school purposes.
Visitors, including parents attending events, are asked to photograph only their own children. We request that visitors refrain from sharing photos of other families' children on social media or other platforms without those families' permission.
